Export invoices for your records
Need a copy of your invoice? Officaid gives you multiple ways to download, export, and even annotate your invoices, whether you need a single PDF or a bulk export for your records.
Downloading a Single Invoice
There are two ways to download an invoice as a PDF:
- From Quick Actions, click Download Invoice
- From the PDF viewer, click the download icon in the toolbar
Bulk Downloading Invoices
To download multiple invoices at once:
- 1 Go to Finance → Income → Invoices.
- 2 Filter your invoices by status or date range (optional).
- 3 Click the Download button in the top right corner.
- 4 Choose your format:
- Invoices — Downloads all filtered invoices as PDFs
- Excel — Exports invoice data as a spreadsheet
Filtering Before Export
Use the filters to narrow down which invoices you want to export:
- Status — Filter by All, Draft, Overdue, Due, or Paid
- Year — Select a specific year or view all
- Custom Range — Choose a specific date range using the calendar picker
Quick date options include Last 30 days, Last 90 days, Last year, or set your own Custom Range.
PDF Viewer Tools
When viewing an invoice, the PDF viewer gives you extra tools:
- Zoom — Zoom in or out for a closer look
- Rotate — Rotate the document if needed
- Print — Print directly from Officaid
- Annotate — Draw on the PDF with different pen sizes and colours
Frequently Asked Questions
Yes. When viewing an invoice, click the Google Drive icon in the PDF viewer toolbar to save it directly to your Google Drive.
The Excel export includes invoice details such as invoice number, client, amount, currency, status, and dates. It's great for keeping offline records or sharing with external parties.
Yes. Credit notes can be downloaded from the Invoice Activity section by clicking Download next to the credit note entry.
