Import your bank transactions in just a few clicks

Uploading bank statements in Officaid is simple and straightforward. Just upload your file, map the columns to the right fields, and preview your data before importing. Officaid shows you the results in real time, so you can be sure everything looks correct.

Supported File Formats

Officaid currently accepts CSV (Comma-Separated Values) files. Most banks allow you to download your statements in CSV format from their online banking portal.

When downloading your statement, look for options like "Export to CSV", "Download as CSV", or "Export transactions". If your bank only offers PDF or Excel files, you may need to convert them to CSV first.

How to Upload Your Bank Statement

  1. 1 Go to Finance → Accounts and click on the account you want to upload transactions to
  2. 2 Click on the Transactions tab
  3. 3 Click + Upload Transactions in the top right corner
  4. 4 Click Choose CSV File and select your bank statement file
  5. 5 Map the columns from your CSV file to the corresponding fields in Officaid
  6. 6 Review the preview table to ensure the data looks correct
  7. 7 Click Add Data to import your transactions

Mapping Your CSV Columns

Once you upload your CSV file, Officaid displays a mapping screen where you match your bank's column names to Officaid's fields:

  • Date - The transaction date
  • Description - The main transaction description
  • Remarks - Additional details or reference numbers
  • Credit/Deposit - Money coming into your account
  • Debit/Withdrawal - Money going out of your account
  • Balance - The running balance after each transaction

Not sure which column to select? Simply map one field and Officaid will immediately show a preview of the data. This helps you visualise the mapping and confirm you have selected the correct column.

It is important to map the Debit/Withdrawal, Credit/Deposit, and Balance fields correctly. These are essential for accurate reconciliation.

Previewing Your Data

As you map each field, the preview table at the bottom of the screen updates to show how your data will appear. Take a moment to review this before clicking Add Data to ensure everything looks correct.

Check that:

  • Dates are displaying in the correct format
  • Descriptions and remarks are in the right columns
  • Amounts appear under the correct debit or credit column
  • The balance column shows accurate running totals
Double-check your data before adding it. If transactions are imported incorrectly, you will need to manually delete them and re-upload.

Starting Fresh

Made a mistake or selected the wrong file? Click Reload to clear everything and start the upload process again. This lets you choose a different file or redo your column mappings without any leftover data.

After Uploading

Once your data is added, you will see your transactions listed in the Transactions tab. Each transaction shows the date, description, debit/withdrawal amount, credit/deposit amount, and whether it has been reconciled.

With your bank transactions now in Officaid, you are ready to start matching them with your recorded invoices, expenses, and other entries.

Frequently Asked Questions

You can upload one file at a time. If you have multiple months of statements, you can upload them one after another, and the transactions will be added to your account.

No problem. The mapping screen lets you match any column name from your file to Officaid's fields. Simply select the correct column from the dropdown for each field.

Yes. In the Transactions tab, each transaction has a delete icon. However, it is easier to double-check your data before importing rather than deleting transactions one by one.
