Understanding Companies

Discover how Officaid helps you manage the businesses you work with in one central place.

Your complete view of every business relationship

Companies in Officaid represent the organizations you do business with. Whether it's a customer, supplier, partner, or prospect, you can track their details, see their contacts, monitor deals, and review invoice history all from one profile.

What Are Companies?

A company is any business or organization you want to keep track of in Officaid. While contacts represent people, companies represent the entities they work for. Linking the two gives you a complete picture of your business relationships.

Each company profile brings together everything relevant to that relationship: contact people, deals in progress, invoices, activities, and sales insights.

The Companies List

Navigate to Network → Contacts and click the Companies tab to see all organizations in your database. The list displays key information at a glance:

  • Company Name - The organization's name with Lead and Client badges where applicable
  • Contacts - How many people are linked to this company
  • Account Owner - The team member responsible for this relationship
  • Last Activity - When someone on your team last interacted with this company
Use the view toggle in the top right to switch between card view and list view, depending on how you prefer to browse your companies.

Company Badges

Officaid automatically assigns badges to companies based on their activity:

  • Lead - The company has a deal or quotation in progress
  • Client - The company has at least one invoice

A company can have both badges if they're an existing client with new opportunities in your pipeline.

Badges are assigned automatically and cannot be changed manually. See Understanding Leads, Prospects, and Clients to learn more.

The Company Profile

Click on any company to open its profile. The profile is organized into tabs that appear based on the company's activity:

  • Overview - Company details, notes, deals, invoices, top items, and linked contacts
  • Activities - All interactions logged with this company
  • Deals - Active and closed deals associated with this company
  • Invoices - Invoice history and payment status
  • Contacts - People linked to this company

The Overview Tab

The Overview tab is your central hub for understanding a company. It displays:

Company Information:

  • Company name and full legal name
  • Tax number, website, and email
  • Phone number and address
  • Account owner and last activity date

Notes:

A rich text section for recording important information about this company.

Deals:

A snapshot of ongoing and closed deals, so you can quickly see sales activity.

Invoices:

Total invoice value with a sales trend graph showing revenue over time.

Top Items:

The products or services this company purchases most frequently.

Contacts:

All people linked to this company with their titles displayed.

Quick Actions

The Quick Actions panel on the right side of the profile gives you instant access to common tasks:

  • Edit Company - Update the company's details
  • Send Email - Compose and send an email to the company
  • Add Activity - Log a call, meeting, or other interaction
  • Add Contact - Create a new contact linked to this company
  • Remove Company - Delete the company from your database

Frequently Asked Questions

A company is an organization. A contact is a person. You can link multiple contacts to a single company to show who works there. This separation lets you manage both businesses and individuals effectively.

Yes. You can create a company without linking any contacts to it. This is useful when you know you'll be working with an organization but haven't identified specific people yet.

Invoices and deals are linked to companies when they're created. Once linked, they automatically appear on the company's profile under the relevant tabs and in the Overview summary.
