Your quotation command centre
Once you've created a quotation, the quotation details page becomes your hub for managing it. From here, you can preview the PDF, send it to your client, track its progress, and take action as it moves through the approval process.
Accessing Quotation Details
There are several ways to open a quotation's details page:
- From the Quotations dashboard: Click on any quotation row in the list
- From a deal: Click on a quotation number in the deal's Quotations section
- From search: Search for a quotation number and click the result
The Quotation Header
At the top of the page, you'll see key information about your quotation:
- Status badge shows the current status (Draft, Ready, Sent, Approved, Rejected, Expired, or Converted)
- Quotation number is the unique reference (e.g., QUO-20251200002)
- Deal link shows which deal this quotation belongs to. Click it to go to the deal.
- Quotation Details displays the total amount with currency
- Quotation Date shows when the quotation was created
- Valid Until shows when the quotation expires
- Client name shows who the quotation is for. Click the eye icon to view the client's full profile.
A message banner at the top indicates the quotation's current state. For example, "This quotation is a draft and has not been sent to the customer" appears for draft quotations.
Action Buttons
Below the header, you'll find action buttons that change based on the quotation's status. These provide quick access to the most relevant actions:
For Draft quotations:
- Mark As Ready finalises the quotation and moves it to Ready status
- Edit Quotation opens the form to make changes
- Download saves the quotation as a PDF
For Ready quotations:
- Send Email opens the email panel to send the quotation to your client
- Mark As Sent changes the status to Sent without sending an email (useful if you sent it manually)
- Back To Draft reverts the quotation to Draft status for further editing
- Edit Quotation opens the form to make changes
- Download saves the quotation as a PDF
For Sent quotations:
- Send Email to resend the quotation if needed
- Mark As Sent if you need to update the sent status
- Back To Draft reverts to Draft status
- Edit Quotation opens the form to make changes
- Download saves the quotation as a PDF
For Approved quotations:
- Convert To Invoice creates an invoice from this quotation
- Download saves the quotation as a PDF
Quick Actions Panel
On the right side of the page, the Quick Actions panel provides additional options:
For Draft quotations:
- Edit Quotation opens the editing form
- Mark As Sent changes status to Sent
- Send Email opens the email panel
- Download saves the PDF
- Deal Details navigates to the linked deal
- Delete removes the quotation (only available for drafts)
For Ready and Sent quotations:
- Mark As Approved confirms the client has accepted
- Mark As Rejected records that the client has declined
- Send Email opens the email panel
- Download saves the PDF
- Deal Details navigates to the linked deal
For Approved quotations:
- Send Email to send a copy if needed
- Download saves the PDF
- Deal Details navigates to the linked deal
PDF Preview
The right side of the page displays a live preview of your quotation PDF. This shows exactly what your client will see when they receive the document.
The preview includes:
- Your company details and logo
- Client details
- Quotation date, number, and validity
- All line items with quantities, rates, and amounts
- Subtotal, taxes, discounts, and total
- Payment account details (if specified)
- Note to client (if added)
Use the preview controls to zoom in/out, navigate pages (for longer quotations), or download the PDF directly from the preview.
Quotation Activity
Below the header on the left side, the Quotation Activity section shows a timeline of everything that's happened with this quotation:
- Quotation Created records when the quotation was first created
- Quotation Updated shows when changes were made
- Quotation marked as Ready indicates when it was finalised
- Quotation changed to Draft shows if it was reverted
- Quotation Approved records when it was marked as accepted
Each entry shows the date, time, and which team member performed the action. This creates a complete audit trail of the quotation's history.
Editing a Quotation
You can edit a quotation at any status except Converted. Click Edit Quotation to open the form and make changes to:
- Quotation date and validity period
- Line items, quantities, and pricing
- Discounts
- Payment account
- Notes to client and internal notes
After editing, click Update Quotation to save your changes. The Quotation Activity timeline will record that the quotation was updated.
If you've already sent a quotation and need to make changes, you can edit it and send it again. The client will receive the updated version.
Downloading a Quotation
Click Download to save the quotation as a PDF file. The file is named with the quotation number (e.g., QUO-20251200002.pdf).
Downloaded PDFs are useful for:
- Keeping offline records
- Sharing through channels other than email
- Printing physical copies
- Attaching to other systems or documents
Viewing Related Information
The quotation details page provides quick access to related records:
To view the deal: Click the deal name link in the header, or click Deal Details in Quick Actions. This takes you to the full Deal Details page where you can see all activities, other quotations, and the deal's pipeline status.
To view the client: Click the eye icon next to the client name. This opens the client's profile in the Network module where you can see their full details, contact information, and history.
Frequently Asked Questions
Yes. You can edit quotations at any status except Converted. If you need to make changes after sending, edit the quotation and send it again so your client receives the updated version.
Only Draft quotations can be deleted. Once a quotation moves to Ready or any later status, it becomes part of your business records. If a quotation is no longer needed, you can mark it as Rejected or let it expire.
Check the Quotation Activity section on the details page. Every change is recorded with a timestamp and the team member who made it, giving you a complete history of modifications.
No. Once a quotation is marked as Approved, it cannot be reverted. If you need to make changes, you can still edit the quotation or create a new one for the same deal.
