Understanding Leave Types

Learn about system and custom leave types in Officaid and how they shape your leave policies.

System defaults and custom categories

Different situations call for different types of leave. Annual leave for holidays, sick leave for illness, parental leave for new parents. Officaid comes with common leave types already configured, and you can create your own to match your company's specific policies.

Accessing Leave Types

  1. 1 Navigate to Team from the left sidebar.
  2. 2 Click Leaves from the submenu.
  3. 3 Click the Leave Policy tab.

The Leave Types table shows all leave categories configured in your system.

System vs Custom Leave Types

Leave types fall into two categories:

  • System leave types are pre-configured by Officaid. These cover common categories that apply across most businesses and cannot be deleted.
  • Custom leave types are ones you create for your specific needs. These can be edited or removed at any time.

The Category column in the Leave Types table indicates whether each type is System or Custom.

Default System Leave Types

Officaid includes these system leave types:

  • Annual for general paid time off and holidays.
  • Sick for illness or medical appointments.
  • Bereavement for time following the loss of a family member.
  • Childcare for parents caring for young children.
  • Maternity for new mothers.
  • Paternity for new fathers.
  • Unpaid for leave without pay.
Default entitlements for system leave types may reflect local statutory requirements as an example. Check with your local authorities for the specific requirements in your jurisdiction.

What You Can Configure

For each leave type, you can configure:

  • Entitled Days sets how many days employees receive by default.
  • Applies To All determines whether the leave type is available to all employees or only those specifically assigned.
  • Carry Over controls whether unused days roll into the next year.
  • Documentation Required specifies if supporting documents are needed for requests exceeding a certain number of days.
  • Is Unpaid marks whether the leave type is unpaid.

The Applies To All Toggle

The Applies To All toggle is important for controlling who can use each leave type:

  • On means the leave type is automatically available to every employee with the configured entitlement.
  • Off means the leave type is only available to employees who have been individually assigned access through their profile in the Directory.

For example, you might keep Maternity Leave toggled off so it only appears for employees who need it, rather than showing in everyone's leave balance.

If you do not want a system leave type to appear for employees, simply toggle off "Applies To All". The leave type remains in the system but is not automatically assigned to anyone.

Actions Column

The Actions column provides different options depending on the leave type category:

  • System leave types show a settings icon (gear). Click to view and modify the configuration.
  • Custom leave types show edit (pencil) and delete (trash) icons. Click to modify or remove the leave type.

System leave types cannot be deleted since they represent fundamental leave categories, but you can adjust their settings to match your policies.

Frequently Asked Questions

No. System leave types cannot be deleted as they cover fundamental leave categories. If you do not want a system leave type to be available, toggle off "Applies To All" so it is not automatically assigned to employees.

The new leave type appears in the Leave Types table and becomes available for leave requests. If "Applies To All" is enabled, every employee automatically receives the configured entitlement.

Leave types with "Applies To All" enabled automatically appear in each employee's leave balances in the Directory. Managers can also manually enable additional leave types for specific employees through the Manage Leaves screen.
