Track cash flow, accounts, profit and loss, expenses, and invoices with Officaid's finance dashboard.

Your Financial Health at a Glance

Understanding your financial position shouldn't require running multiple reports. The Finance section of your Insights dashboard consolidates cash flow, account balances, profit and loss, expenses, and invoice status into one view, giving you immediate clarity on your business finances.

Cash Flow Trend

The Cash Flow Trend chart dominates the top of the Finance section. It shows your money movement over time with two viewing options:

  • Money In/Out displays a bar chart comparing income and expenses each month
  • Cash Balance shows a line chart tracking your cumulative balance over time

Toggle between views by clicking Money In/Out or Cash Balance above the chart. The Money In/Out view helps you see monthly patterns, while Cash Balance shows your overall financial trajectory.

The chart legend identifies different data types:

  • Money In (green) represents incoming funds
  • Money Out (purple) represents outgoing expenses
  • Loans (teal) shows loan-related transactions
  • Loan Payments (pink) indicates loan repayments
Values shown are estimates based on recorded transactions. The asterisk indicates estimated figures.

Accounts Overview

To the right of the Cash Flow chart, you'll see your account balances. Each account displays:

  • Account name such as a bank account or cash account
  • Account number for reference
  • Current balance with currency

This gives you instant visibility into your liquid assets across all tracked accounts. Click on an account to view its full transaction history.

Profit and Loss

The Profit & Loss panel shows your net profit for the selected period. You'll see:

  • Period such as "Net profit for December 2025"
  • Amount your profit figure
  • Comparison showing the percentage change from the previous period

A green arrow indicates improvement, while a red arrow shows a decline. Use the Last Month dropdown to select different time periods.

Expenses

The Expenses panel summarizes your spending for the selected period. It includes:

  • Period such as "Spending for December 2025"
  • Total amount your total expenses
  • Category breakdown a donut chart showing expense distribution

The chart visualizes where your money is going by category. Use the dropdown to change the time period.

Invoices

The Invoices panel shows your invoicing performance over the last 365 days:

  • Total invoiced the combined value of all invoices
  • Overdue amount highlighted in red, showing unpaid invoices past due
  • Status breakdown a donut chart showing Paid, Overdue, and Due invoices

The chart gives you immediate visibility into collection status. A large red segment indicates significant overdue amounts that need attention.

Click on the overdue amount to navigate to your overdue invoices and take action on collections.

Interpreting the Finance Section

The Finance section answers critical questions:

  • Are we cash positive? Check the Cash Flow Trend
  • How much do we have available? See the Accounts panel
  • Are we profitable? Review Profit & Loss
  • Where is money going? Look at the Expenses breakdown
  • Are customers paying on time? Check the Invoices status

Frequently Asked Questions

The Finance section appears only if you have access to the Finance module. Contact your administrator in Admin → Access to request access.

The Finance section reflects your current data. When you record a payment, expense, or invoice, the dashboard updates immediately.

The dashboard shows snapshot metrics for quick reference. The Reports module provides detailed, customizable financial statements suitable for accounting, tax filing, and detailed analysis. Access reports in Finance → Reports.
