Understanding Claim Balances

See how Officaid tracks your claim limits with Allowed, Used, and Balance values.

Know exactly how much you can claim

No more guessing whether you've hit your limit. Officaid tracks your entitlements in real time, showing exactly how much you've used and how much remains for each expense category.

Where to Find Your Balances

When you navigate to submit a new claim, you'll see a Claim Balances panel on the right side of the page. This panel displays all your claim types with their current limits and usage.

The Three Columns

The Claim Balances panel shows three key values for each claim type:

  1. Allowed is your total budget or entitlement for that claim type. This is the maximum amount you can claim over a given period.
  2. Used is the total amount from your approved and paid claims. Pending claims are not counted until they're approved.
  3. Balance is your remaining entitlement, calculated as Allowed minus Used. This tells you how much more you can claim.

Unlimited Categories

Some claim types display Unlimited in the Allowed and Balance columns. This means your company has not set a spending cap for that category. You can submit claims without worrying about a limit, though all claims still require approval.

Even unlimited claim types track your Used amount, so you can always see your total spending in each category.

Limited Categories

When a claim type has a numeric limit, Officaid automatically tracks your spending against that budget.

For example, Sarah has a Transport/Travel Expenses limit of 400.00. She's already claimed 25.00 this period, so her balance shows 375.00 remaining.

If you submit a claim that exceeds your remaining balance, it will still be sent for review. Your manager or HR can decide whether to approve it as an exception.

Frequently Asked Questions

Claim balances typically reset based on your company's policy. This could be monthly, quarterly, or annually. Check with your HR team if you're unsure when your balances refresh.

The Used column only includes approved and paid claims. Pending claims are not counted until they've been approved. This prevents your balance from being affected by claims that might be rejected.

Yes. Navigate to Me → My Claims and click New Claim. The Claim Balances panel appears on the right side. You can review your balances and click Cancel if you don't want to submit a claim.
