Understanding Contacts

Discover how Officaid helps you store and manage the people you work with in one central place.

Your central hub for everyone you work with

Contacts in Officaid represent the people behind your business relationships. Whether it's a customer, supplier, partner, prospect, or team member, you can store their details, track your interactions, and see how they connect to companies and deals.

What Are Contacts?

A contact is any individual you want to keep track of in Officaid. Unlike companies, which represent organizations, contacts represent people. Each contact can stand alone or be linked to one or more companies where they work.

Officaid stores more than just names and phone numbers. You can capture personal details, social profiles, family members, and notes to help you build deeper, more meaningful relationships.

The Contacts List

Navigate to Network → Contacts to see everyone in your database. The list displays key information at a glance:

  • Name - The contact's full name and any badges (such as Employee)
  • Company/Position - Their company affiliation and job title
  • Contact - Email address and phone number
  • Account Owner - The team member responsible for this relationship
  • Last Activity - When someone on your team last interacted with them
Use the view toggle in the top right to switch between list view and card view, depending on how you prefer to browse your contacts.

Types of Contacts

Not all contacts are the same. Officaid recognizes different types based on how they connect to your business:

  1. Standalone contacts - People not linked to any company, such as freelancers or personal connections
  2. Company contacts - People linked to one or more companies, showing their title and role
  3. Employee contacts - Contacts who are also part of your team in the Team module, indicated by an Employee badge
When a contact is added to your Team module, their contact profile will show an Employee tab with their employment details, leave information, and payroll data.

What You Can Store

Each contact profile can include:

  • Basic info - Name, email, phone, and remarks
  • Personal info - Gender, religion, and birthday
  • Social profiles - LinkedIn and X/Twitter links
  • Company associations - Which companies they work for, their title, and whether they're the primary contact
  • Family members - Relationships and birthdays for personal touchpoints

How Contacts Connect to Other Modules

Contacts in Officaid don't exist in isolation. They connect across your entire business:

  • Companies - Link contacts to the organizations they represent
  • Deals - See which contacts are involved in your sales pipeline
  • Invoices & Quotations - Contacts linked to companies with transactions will show a Companies tab
  • Activities - Every email, call, meeting, and message is logged against the contact
  • Team - Contacts who are employees connect to payroll, leaves, and claims

Frequently Asked Questions

Yes. You can link a single contact to multiple companies. This is useful for consultants, board members, or anyone who holds positions at more than one organization.

A contact is a person. A company is an organization. You can link contacts to companies to show who works where, but they are managed separately. This lets you track both the people and the businesses you work with.

The Employee badge appears when a contact has also been added to your Team module. This links their contact profile to their employment records, giving you a complete view of both their relationship history and their role in your organization.
