Managing Contact Details

Explore the contact profile in Officaid and learn how to use quick actions, notes, and more.

Everything you need to know about a contact in one place

When you open a contact in Officaid, you're not just looking at a name and phone number. The contact profile brings together their personal details, company affiliations, family connections, notes, and activity history into a single, actionable view.

Navigating the Contact Profile

To open a contact's profile, go to Network → Contacts and click on any contact in the list. The profile is organized into tabs that appear based on the contact's information:

  • Overview - The main profile with contact details, notes, family members, and activities
  • Employee - Appears when the contact is also in your Team module, showing employment details
  • Activities - A dedicated view of all activities logged with this contact
  • Companies - Appears when the contact is linked to companies with quotations or invoices

The Overview Tab

The Overview tab is your central hub for understanding a contact. It displays:

Contact Information:

  • Name, email, and phone number
  • Company affiliation and job title
  • Personal details like birthday, gender, and religion
  • Social profile links (LinkedIn, X/Twitter)

Notes:

A rich text section where you can record important information about this contact. Use it for meeting notes, preferences, or anything you want to remember.

Family Members:

If you've added family members, they appear here with their relationship, name, and birthday.

Activities:

A snapshot of upcoming and recent activities with this contact, so you can quickly see when you last interacted or what's scheduled next.

Quick Actions

The Quick Actions panel on the right side of the profile gives you instant access to common tasks:

  • Edit Contact - Update the contact's details, associations, or family members
  • Send Email - Compose and send an email directly from Officaid
  • WhatsApp Message - Send a WhatsApp message using templates or custom text
  • Add Activity - Log a call, meeting, task, or other interaction
  • Remove Contact - Delete the contact from your database
Use Send Email and WhatsApp Message to communicate directly from Officaid. These actions are automatically logged as activities, so you always have a record of your outreach.

Adding and Editing Notes

The Notes section supports rich text formatting. Click into the notes area to add or edit your notes. You can format text, add bullet points, and structure your notes however you like.

Notes are saved automatically as you type, so you don't need to worry about losing your work.

Notes are visible to your entire team, making them a great place to share context about a contact that everyone should know.

The Employee Tab

When a contact is also part of your Team module, an Employee tab appears on their profile. This tab links to their employment information, including:

  • Employment status and role
  • Leave balances and history
  • Payroll information
  • Claims and expenses

This connection ensures you have a complete view of people who are both business contacts and team members.

The Companies Tab

When a contact is linked to companies that have quotations or invoices, a Companies tab appears. This tab lists:

  • Each linked company name
  • The contact's title at that company

Click on a company name to jump directly to that company's profile.

Frequently Asked Questions

Click Edit Contact in the Quick Actions panel. This opens the contact form where you can update their basic info, company associations, and family members. Click Save when you're finished.

Notes are shared with your team. Anyone with access to the contact can see and edit the notes, making them useful for collaborative relationship management.

These tabs only appear when relevant. The Employee tab shows when the contact is also in your Team module. The Companies tab shows when the contact is linked to companies with quotations or invoices.
