Your central hub for managing employee claims
Employee claims arrive from across your organization. Transport receipts, meal claims, office supply purchases. Each needs to be reviewed, approved, and eventually reimbursed. The Claims module brings everything together, giving you a single place to handle approvals, track claim history, configure policies, and monitor spending across your team.
Who Uses This Module
The Claims module is designed for those responsible for processing and managing employee claims. This typically includes HR personnel, managers, finance teams, and business owners. Employees submit their own claims through Me → My Claims, while this module handles the administrative side.
The Three Tabs
The Claims module is organized into three tabs, each serving a different purpose:
- Overview shows pending approvals, recent activity, and a claims summary for quick visibility into what is happening across your team.
- All Claims displays every claim request with filters to search by date, status, employee, or claim type.
- Claim Policy is where you configure claim types, set limits, and control which employees can claim for each type.
How It All Connects
The Claims module works alongside other parts of Officaid:
- Me → My Claims is where employees submit their claims. Those requests flow into this module for approval.
- Finance → Expenses → Payables receives approved claims automatically, consolidating them by employee for easier reimbursement.
- Claim policies created here determine what employees see when submitting claims in their personal dashboard.
What You Can Do Here
From the Claims module, you can:
- Approve or reject pending claims.
- View attached receipts and supporting documentation.
- Review claim history and filter by status, employee, or type.
- Monitor spending patterns through the Claims Summary.
- Create claim types that match your company policies.
- Configure claim limits per submission and per month.
- Control which employees have access to each claim type.
Frequently Asked Questions
Me → My Claims is where employees submit their claims and track their status. Team → Claims is for administrators to approve requests, configure policies, and manage claims across the entire team.
The Pending Approvals section on the Overview tab shows all claims waiting for a decision. You can click on any pending claim to review the details and take action immediately.
Yes. Use the All Claims tab and filter by employee name to see all their claims. You can also view claims from an employee's profile in Team → Directory.
