Understanding Seats

Learn how Officaid's seat-based system works and how to manage your team's capacity.

Pay only for the team you have

Officaid uses a seat-based system to manage how many employees you can add to your account. Each active employee takes up one seat. This keeps pricing fair and scalable, so you only pay for what you actually use.

What is a Seat?

A seat represents one active employee in your Directory. When you add a new team member and set their status to Active, they occupy one seat. When an employee leaves and you set their status to Inactive or Terminated, that seat is freed up for someone else.

Think of seats like chairs at a table. You need enough chairs for everyone currently sitting, but empty chairs (inactive employees) do not count against your total.

How Seats Are Counted

Only Active and On Probation employees count toward your seat usage. The following do not use seats:

  • Inactive employees who have been deactivated.
  • Terminated employees who have left the company.

This means you can keep full historical records of former employees without paying for extra seats.

Checking Your Seat Usage

To see how many seats you are using:

  1. 1 Go to Admin in the left sidebar.
  2. 2 Click on Billing to view your plan details.
  3. 3 Your current seat usage and total allocation will be displayed.

What Happens When You Run Out of Seats

If all your seats are occupied and you try to add a new employee, Officaid will prompt you to purchase additional seats. You cannot add more active employees than your plan allows.

To free up a seat without purchasing more, you can deactivate an employee who is no longer with the company.

Adding More Seats

As your team grows, you can purchase additional seats at any time. Go to Admin and then Billing to upgrade your plan or add seats. Changes take effect immediately, so you can add new employees right away.
