Onboarding is the process of integrating a new employee into your company. It goes beyond paperwork and orientation. Good onboarding ensures new hires have everything they need to start contributing quickly, from system access to understanding their role and responsibilities.

A smooth onboarding experience makes a strong first impression. When new employees feel welcomed and prepared, they settle in faster, perform better, and are more likely to stay with your company long-term.

What Does Onboarding Include?

Effective onboarding covers several key areas:

  • Personal Information such as contact details, emergency contacts, and identification documents.
  • Employment Setup including job title, department, reporting manager, and start date.
  • Payroll Configuration covering salary, bank account details, and any allowances or deductions.
  • Leave Entitlements so employees know how much annual leave, sick leave, and other time off they receive.
  • Document Collection for contracts, certifications, work passes, and other required paperwork.
  • Equipment Assignment such as laptops, phones, or other tools needed for the job.
  • Compliance Requirements including data needed for mandatory CPF and IRAS submissions.

The Cost of Poor Onboarding

When onboarding is rushed or incomplete, problems follow:

  1. Payroll Errors occur when salary or bank details are missing, leading to delayed or incorrect payments.
  2. Compliance Gaps happen when employment data is incomplete, causing issues with CPF contributions or tax filings.
  3. Lost Productivity results from new hires waiting for access, equipment, or information they need to do their job.
  4. Higher Turnover can follow when employees feel unprepared or unsupported in their first weeks.

How Officaid Simplifies Onboarding

Officaid's Directory makes onboarding straightforward with a three-step process for adding new team members:

  1. 1 Contact captures basic information like name, email, and phone number. You can select an existing contact or create a new one.
  2. 2 Employment records job details including title, department, employment type, join date, and reporting manager.
  3. 3 Payroll sets up salary, payment method, bank account, and any recurring allowances or deductions.

Once added, the new employee has a complete profile ready for payslips, leave tracking, and compliance submissions. You can then add documents, set goals, and assign equipment, all from their profile page.

You can create a new contact directly from the Add Team Member form. No need to go to Network first.

Onboarding Checklist

Use this checklist to ensure nothing is missed when bringing a new hire into Officaid:

  • Add team member with contact, employment, and payroll details
  • Upload important documents (contract, ID, work pass if applicable)
  • Set leave entitlements or customize if different from company defaults
  • Add emergency contacts and dependants
  • Assign any equipment or inventory items
  • Set initial goals or KPIs if applicable
  • Complete the OED form in the Regulatory tab (optional)

Frequently Asked Questions

The three-step process takes just a few minutes if you have the employee's information ready. You can always add more details like documents and goals after the initial setup.

Currently, team members are added one at a time through the Directory. This ensures each profile is complete and accurate before moving to the next.

You can add a team member with the essential details first, then update their profile as more information becomes available. Required fields are marked during the setup process.

Adding someone to the Directory does not automatically send them a notification. You can use the Send Email feature from their profile to welcome them or share information.
