Your central hub for managing team leave

Tracking leave across your team can quickly become complicated. Between approving requests, monitoring balances, and ensuring adequate coverage, there is a lot to keep on top of. The Leaves module brings everything together, giving you a single place to handle approvals, review leave history, configure policies, and manage company holidays.

Who Uses This Module

The Leaves module is designed for those responsible for managing team leave, such as HR personnel, managers, and business owners. Employees apply for their own leave through Me → My Leaves, while this module handles the administrative side.

Access to the Leaves module depends on your permissions. To configure access, go to Admin → Access.

The Four Tabs

The Leaves module is organized into four tabs, each serving a different purpose:

  1. Overview shows pending approvals, recent activity, and a leave calendar for quick visibility into what is happening across your team.
  2. All Leaves displays every leave request with filters to search by year, status, employee, or leave type.
  3. Leave Policy is where you configure leave types, set entitlements, and manage carry over rules.
  4. Holidays lets you add, import, and manage public holidays and company-specific non-working days.

How It All Connects

The Leaves module works alongside other parts of Officaid:

  • Me → My Leaves is where employees submit their own leave requests. Those requests flow into this module for approval.
  • Team → Directory lets you customize leave entitlements for individual employees and apply leave on their behalf.
  • Leave balances and usage are visible on each employee's profile in the Directory.
Leave types created in this module automatically become available when managing individual employee entitlements in the Directory.

What You Can Do Here

From the Leaves module, you can:

  • Approve or reject pending leave requests.
  • Review leave history and filter by status, employee, or type.
  • View upcoming leave on a calendar or list view.
  • Create custom leave types to match your company policies.
  • Configure entitlements, carry over limits, and documentation requirements.
  • Add public holidays or import them from an ICS file.
  • Mark specific holidays as working days if needed.

Frequently Asked Questions

Me → My Leaves is where employees apply for their own leave and view their balances. The Team → Leaves module is for administrators to approve requests, configure policies, and manage leave across the entire team.

Yes. While this module sets company-wide leave policies, you can customize entitlements for individual employees through their profile in Team → Directory. See Managing Employee Leaves for details.

Employees receive a notification when their leave request is approved or rejected. Their reporting officer is also notified.
