See who is off at a glance
Planning around team absences is easier when you can see everything on a calendar. The Leave Calendar gives you a visual timeline of all leave requests across your team, along with public holidays and company-specific non-working days. Use it to spot potential coverage gaps, plan meetings around absences, or simply stay informed about who is available.
Accessing the Leave Calendar
The Leave Calendar appears at the bottom of the Overview tab in the Leaves module. To access it:
- 1 Navigate to Team from the left sidebar.
- 2 Click Leaves from the submenu.
- 3 Scroll down on the Overview tab to find the Leave Calendar section.
What the Calendar Shows
The calendar displays several types of information:
- Employee leave appears as colored bars spanning the dates of each request. The bar shows the employee name and leave type.
- Public holidays are highlighted on their respective dates, showing the holiday name.
- Approved and Pending leave requests are displayed. To view Rejected or Cancelled requests, use the All Leaves tab.
This comprehensive view ensures you know not just who is off, but also what requests are still waiting for approval.
Navigating the Calendar
The calendar defaults to the current month with today's date highlighted. Use these controls to navigate:
- Arrow buttons (< >) move backward or forward one month at a time.
- Today button returns you to the current date regardless of which month you are viewing.
Switching Between Views
Two icons in the top right corner of the calendar let you change how information is displayed:
- Calendar view shows a traditional monthly grid with leave displayed as bars across the relevant dates.
- List view presents the same information as a vertical list, grouped by date.
In list view, each entry shows the date, employee name, leave type, and status. An "all-day" indicator appears for full-day leave. This view is helpful when you want to quickly see all leave for specific dates without the visual layout of a calendar.
Viewing Leave Details
Click on any leave entry in either view to open the Leave Request Details popup. This shows the complete information about that request:
- Employee name and leave type.
- Start and end dates with total days.
- Current status.
- Leave balance for that type.
- Leave reason provided by the employee.
For leave that is already processed, only a Close button appears. For pending requests, you can approve or reject directly from this popup.
Holidays on the Calendar
Public holidays and company holidays configured in the Holidays tab appear on the calendar with their name displayed. This helps you see the full picture of non-working days alongside employee leave.
Holidays marked as "Working Day" in the Holidays tab will still appear on the calendar but are treated as regular working days for leave calculations.
