Viewing All Leaves

Search and filter leave records in Officaid to find exactly what you need.

Find any leave record quickly

Sometimes you need to look up a specific leave request, check an employee's leave history, or review all approved leave for a particular month. The All Leaves tab gives you access to every leave request in your system with powerful filters to narrow down exactly what you need.

Accessing All Leaves

  1. 1 Navigate to Team from the left sidebar.
  2. 2 Click Leaves from the submenu.
  3. 3 Click the All Leaves tab.

Understanding the Display

The All Leaves tab shows leave requests in a table format. Each row displays:

  • Employee name.
  • Type of leave such as Annual Leave, Sick, or Unpaid.
  • Date showing the leave period.
  • Duration indicating the number of days.
  • Leave Reason showing the reason provided by the employee.
  • Status displayed as a colored badge.

Click on any row to open the Leave Request Details popup for that request.

Available Filters

A row of filters at the top of the tab helps you narrow down the results:

  • Search lets you type to find specific records by keyword.
  • Year filters by the year of the leave, with options for the current year, all years, or a custom date range.
  • Status filters by leave status: All, Pending, Approved, Rejected, or Cancelled.
  • Employee filters by a specific team member, with a dropdown listing all employees.
  • Type filters by leave type, showing all leave categories configured in your system.
Filters work together. For example, you can view all Approved Annual Leave for a specific employee in 2026 by selecting each filter accordingly.

Using Year Filters

The year filter offers several options:

  • Current year (e.g., 2026) shows only leave from this year.
  • All shows leave from all time.
  • Custom lets you specify a date range to view leave between specific dates.

Viewing Leave Details

When you click on a leave record, the Leave Request Details popup opens showing the full information:

  • Employee name and leave type.
  • Status of the request.
  • Start date, end date, and total days.
  • Leave balance for that type.
  • Leave reason provided by the employee.

For pending requests, you can approve or reject directly from this popup. For processed requests, only a Close button appears.

Common Uses

Here are some typical ways to use the All Leaves tab:

  • Check an employee's history by filtering by their name to see all their past leave requests.
  • Review pending approvals by filtering by Pending status to see what needs action.
  • Audit sick leave usage by filtering by the Sick leave type to review patterns.
  • Prepare reports by filtering by date range and exporting or noting the relevant records.

Frequently Asked Questions

Use the Employee dropdown filter to select the team member you want to view. The table will update to show only their leave requests across all types and statuses.

Yes. Use the year filter at the top of the tab. Select All to view leave records from all time, or choose Custom to specify a date range.

Set the Status filter to Pending to see all leave requests waiting for a decision. You can click on any row to open the request and take action directly.
