If you run a small business in Singapore, you have probably been told to "just use Xero". It is good advice for many companies: Xero is a well-known accounting tool, most accountants know it, and it connects to a long list of other apps. The question for a Singapore SME is a narrower one: what happens when you also have staff to pay?
This post compares the two feature by feature, with a source for every statement about Xero (read on Xero's own Singapore pages on 21 Oct 2026). We say where Xero is strong, and where we think Officaid is the better fit.
The short version
- Xero is accounting software. In Singapore, payroll comes from a separate payroll app that you connect to your Xero organisation, chosen from its app store.
- Officaid runs the money, the people and the customers in one login: accounting, Singapore payroll with CPF, IRAS and MOM built in, HR, and a CRM with a sales pipeline. Officaid is a certified One-Stop Payroll Vendor.
If you have no employees and an accountant who works in Xero every day, Xero is a sensible choice. If payroll, CPF and leave are part of your month, read on.
Where Xero is strong
Credit where it is due:
- Accountants know it. Xero has an advisor directory to find an accountant or bookkeeper, and tools for accounting firms (Xero Partner Hub, practice management, workpapers).
- A large app ecosystem. Xero's Singapore site says you can "integrate with 1000+ apps". If you need a specialist tool, there is a good chance it connects.
- Bank feeds. Xero says it "connects directly with Singapore's major banks like DBS, OCBC, and UOB", so transactions arrive in Xero each day for reconciliation.
- A phone app. Xero offers a mobile app, the Xero Accounting app.
- Broad accounting features: quotes, invoices, bills, inventory, projects and expense claims are all on its features page.
Officaid does not have direct bank feeds today: you reconcile by uploading your bank's statement file (CSV or Excel, from any bank), and Officaid suggests the matches. Officaid also has no native phone app yet; it runs in your phone's browser, with nothing to install.
Payroll and CPF: the biggest difference
This is where the two tools are built differently.
Xero. Xero's own Singapore payroll page says: "You need to integrate a third-party payroll app with your Xero organisation." It names Talenox, HReasily and SimplePay as examples. The payroll app runs the pay, CPF and submissions; its figures then sync into Xero. Xero's guide for accountants adds a fair warning: "Always verify that the app you choose supports the latest CPF Ordinary Wage ceiling" (SGD 8,000 a month from 1 Jan 2026).
That set-up works for many companies. It does mean two products, two logins and a sync between them, and two places to look when a number does not agree.
Officaid. Payroll is part of the same app as the books:
- CPF by age band and PR year. Each employee's CPF follows CPF Board's rates for their age band, the month after a birthday that moves them to a new band, the Ordinary Wage ceiling of SGD 8,000, and the graduated rates for PRs in their first year.
- Self-help group funds and SDL. The right fund (CDAC, MBMF, SINDA or ECF) is picked from the employee's details, and the Skills Development Levy is worked out for everyone, foreigners included.
- Checked to the cent. We ran October 2026 payroll for an eight-person test team (ages 26 to 67; citizens, first- and third-year PRs, an Employment Pass and an S Pass). Every CPF, self-help fund and SDL figure matched the 2026 rules.
- CPF EZPay file, or straight to CPF. Generate the CPF EZPay file in one click, or log in with Corppass and submit the month's contributions to CPF Board from Officaid. Then Mark Selected As Paid, and the CPF is an expense in the books.
- IR8A drafts from payslips. Team → Tax builds the year's IR8A drafts from the payslips you already have, with an Amendment if something changes after filing.
- Salaries by bank file. Download one bank file for the whole team, in your bank's format, and upload it to your bank. When the bank has paid, Mark As Paid books the salaries once.
- Starting mid-year. If you move from another payroll during the year, enter each CPF member's wages paid before Officaid this year, and bonus CPF follows the yearly ceiling from the first Officaid payslip.
As a certified One-Stop Payroll Vendor, Officaid lets you submit CPF, IRAS and MOM information from the app. For a business owner who worries about getting CPF wrong, that is often the whole question.
HR: leave, claims and the employee record
Xero lists expense claims on its features page. Leave management, like payroll, comes from the connected HR or payroll app; Xero's payroll page describes HReasily as covering "pay calculations to leave management".
Officaid keeps one page per employee: leave, payslips, claims, allowances, goals, documents and the assets they were handed. Staff apply for leave and submit claims themselves; an approved claim lands in Finance as a payable, ready to pay. Singapore's public holidays for the year import in one click.
Sales and customers
Xero has quotes and invoices. We did not find a sales pipeline or contact interaction log on its features page (checked 21 Oct 2026); its app store is where you would look for one.
Officaid includes a CRM in the same login. Open a deal on the pipeline, create the quotation inside it, and Convert To Invoice when the client accepts: the invoice arrives filled in and the deal value updates itself. Log a call on a contact and it moves from Cold to Warm; add a client's birthday and it turns up under Reasons to Connect a few weeks ahead.
Accounting side by side
Both tools do the core accounting a Singapore SME needs. In Officaid:
- One ledger. Approve an invoice and the amount appears in Profit & Loss, Accounts Receivable Aging and Cash Flow at once.
- GST registration is one toggle, with GST 9% on invoice lines and a Tax Invoice PDF showing your GST number.
- Eight reports (P&L, Balance Sheet, Cash Flow, Trial Balance, General Ledger, AR and AP Aging, Chart of Accounts), each one click from Excel or PDF.
- Pay bills by PayNow QR from inside the books, and record loans, fixed assets with depreciation, and foreign currency with exchange rates from the Monetary Authority of Singapore.
- For your accountant: every invoice as PDFs in one zip, every receipt in one zip, and an audit log that shows who changed a payment, an expense or a loan, from what, to what.

How Officaid prices it
Officaid publishes one price on its pricing page: SGD 30 per month for your first 5 employees, billed yearly (SGD 360 a year), and SGD 5 per month for each extra employee. Month to month, it is SGD 50 per month for your first 5 employees, no commitment, and SGD 6 per extra employee. All features are included: you pay for the size of your team, not per module, and there is no setup fee. The free trial runs for 14 days with full access to every feature, and no credit card is needed to start.
Which one should you choose?
Choose Xero if you have no staff, or your accountant runs everything in Xero and wants the app ecosystem, and you are happy to add and maintain a separate payroll app for CPF.
Choose Officaid if payroll is part of your month: CPF, self-help funds, SDL, leave, claims, IR8A, all in the same books as your invoices and your customers, from a certified One-Stop Payroll Vendor. One login, and one set of numbers that agree.
The easiest way to decide is to run one month in it. Start a 14-day free trial and process a payroll for your own team.
