Set the right permissions for every team member
Changing a team member's access in Officaid takes just a few clicks. You can grant or remove access to any module directly from the Access Rights table, and the changes take effect immediately.
Before You Begin
Make sure you have:
- Admin access to your Officaid account
- At least one team member added through Team → Directory
Changing a Team Member's Access
- 1 Go to Admin → Access from the left sidebar
- 2 Find the team member in the table (use the Search bar if needed)
- 3 Click the dropdown next to the module you want to change
- 4 Select Allowed to grant access or No Access to remove it
The change is saved automatically. The team member's sidebar will update to reflect their new permissions the next time they load the page.
Granting Me Access
The Me module is the employee self-service portal where team members can view their payslips, apply for leave, and submit claims. When you set a team member's Me access to Allowed, Officaid sends an invitation email to the work email address on their employee profile. This email contains a link for them to create their account and log in.
Recommended Access by Role
Here are some examples of how you might configure access for different roles in your business:
- Business owner or manager would typically have all modules set to Allowed, including Admin
- Sales team member would need Network, Sales, and Me access
- HR or payroll manager would need Team, Me, and possibly Finance and Reports
- General employee would typically only need Me access for self-service features
Frequently Asked Questions
Access rights are updated one team member at a time. Each dropdown change is saved automatically, so you can move through the table quickly without needing to click a save button.
A team member without Admin access cannot view or change billing, access rights, company settings, or the audit log. Make sure at least one person (besides the Super User) retains Admin access so these settings remain manageable.
No. Super Users have permanent access to all modules, and their permissions cannot be modified from the Access Rights page. See Super Users Explained for more details.
