How seats connect your team to your subscription
In Officaid, a seat represents one active employee on your account. Your subscription includes a set number of seats, and you can add more as your team grows. Understanding how seats work helps you manage your subscription costs effectively.
What is a Seat?
Each active employee in your Officaid account occupies one seat. When you add a new team member through the Directory, they take up a seat. When an employee is deactivated, their seat is released and can be used by someone else.
Included and Additional Seats
Every Officaid plan includes a base number of seats at no extra cost. If your team exceeds this number, each additional seat is charged at a per-seat rate on top of your base subscription. The per-seat rate depends on whether you are on a monthly or annual plan.
How Seat Costs Are Calculated
Your total subscription cost is made up of two parts:
- The base subscription fee, which covers the included seats
- The additional seat fee for every seat beyond the included amount
The total is shown in the Complete Your Payment section on the Billing page when you subscribe or adjust your seat count.
Adjusting Your Seat Count
You can increase your seat count at any time from Admin → Billing. This is useful when you are planning to onboard new employees and want their seats ready in advance. Your billing will adjust to reflect the new seat count at the next charge.

No. Only active employees occupy seats. When you deactivate an employee through the Directory, their seat is freed up. For more on deactivation, see Deactivating an Employee.
Your seat count cannot go below the number of active employees on your account. To reduce seats, you would first need to deactivate any employees you no longer need, then adjust your seat count from Admin → Billing.
You will be prompted to increase your seat count before you can add a new team member. Go to Admin → Billing to adjust your seats, then return to Team → Directory to add the employee.
