Reconciling Stripe Payouts

Split a Stripe payout into income and fee records and reconcile the deposit with Stripe's payout file.

Turn one Stripe payout into clean income and fees

Stripe pays your sales into your bank as one deposit, after taking its fees and any refunds. Upload Stripe's payout file to the bank account and Officaid splits that one deposit into income and fee records by category, then reconciles the deposit for you.

Before You Begin

Upload the bank statement first, so the payout is already in the account as one deposit.

Need to upload your bank statement? See Uploading Bank Statements.

Downloading the Payout File From Stripe

In Stripe, go to Reports → Payout reconciliation and download the Itemised report as a CSV file.

Reconciling a Stripe Payout

  1. 1 Go to Finance → Accounts and click on the bank account the payout went into
  2. 2 Click + Upload Transactions
  3. 3 Click Choose Bank File and select the Stripe payout file
  4. 4 In the Stripe payout file panel, check each payout: its date, payout ID and SGD amount, with its Statement line. If several statement lines match, pick the right one
  5. 5 Check the Category and Tax for each line
  6. 6 Click Reconcile Payout

The panel lists every sale, refund and Stripe fee row in the payout, and one Stripe processing fees line. Stripe processing fees default to GST Exempt (0%).

If a line has no category, Officaid asks you to choose one with "Select a category for" followed by the line's name.

What Officaid Records

  • Income: one income record per category, with the sales less the refunds
  • Expenses: one expense per fee category, with Stripe as the vendor
  • Date: every record is dated on the date of the deposit
  • Reconciliation: the deposit on your bank statement is reconciled

Frequently Asked Questions

No. The Stripe payout file is not a bank statement, so Officaid recognises it, skips the column matching and does not add it as statement lines. The deposit comes from your bank statement.

Officaid shows "Already reconciled." for a payout that is already done, so nothing is recorded twice.
