Claim expenses from anywhere in the world
Travelling for business or making purchases abroad? You can submit expense claims in foreign currencies and Officaid will convert them to your company's base currency automatically.
When to Use This
Select a different currency when your receipt shows an amount in a currency other than your company's default. For example, if you're based in Singapore but attended a conference in the US, you'd claim your USD expenses in their original currency.
How Currency Conversion Works
When you select a foreign currency on the claim form, additional fields appear:
- Amount is the value you enter in the selected foreign currency
- Currency is the foreign currency of your expense
- Conversion Rate shows the exchange rate between the currencies
- Amount (base currency) displays the converted value in your company's currency
Step-by-Step Guide
- 1 Start a new claim by clicking New Claim from the My Claims page.
- 2 Fill in the Claim Type, Expense Date, and other standard fields.
- 3 Enter the Amount exactly as shown on your receipt.
- 4 Click the Currency dropdown and select the currency of your expense.
- 5 Review the Conversion Rate and converted amount that appear.
- 6 Add your Remarks and upload your Receipt.
- 7 Click Submit Claim to send for approval.
About Exchange Rates
The conversion rate displayed is based on your company's configured exchange rates in Officaid. If the rate seems incorrect, contact your HR or finance team to verify the rates are up to date.
Frequently Asked Questions
The currencies available depend on your company's configuration. Click the Currency dropdown on the claim form to see all supported currencies. Contact your HR or admin team if you need a currency that isn't listed.
The conversion rate is pulled from your company's configured rates in Officaid. You cannot manually override it when submitting a claim. If the rate appears incorrect, contact your HR or finance team.
Submit separate claims for each currency. Each claim can only have one currency selected. This ensures accurate conversion and clear records for each expense.
