Know exactly where your claims stand
After submitting an expense claim, you want to know if it has been approved and when you will be reimbursed. My Desk gives you a clear view of all your claims, their approval status, and payment information, so you never have to wonder about your reimbursements.
Where to Find Your Claims
Your claims appear in the Claims section of My Desk. This panel shows a summary of your claim activity and a list of individual claims.
- 1 Navigate to Me → My Desk.
- 2 Scroll down to the Claims section.
Claims Overview
The Claims section displays:
- Total Approved (YTD) showing your total approved claim amount for the year.
- Pending Claims showing the total amount awaiting approval.
- Chart visualizing your claim amounts by month.
- Claims List showing individual claims with Date, Claim Type, Amount, and Status.
Claim Statuses
Each claim has one of the following statuses:
- Pending means your claim is awaiting review and approval.
- Approved means your claim has been approved and is awaiting payment.
- Paid means you have been reimbursed for the claim.
- Rejected means your claim was not approved.
- Cancelled means the claim was withdrawn or voided.
Viewing Claim Details
To see the full details of a claim:
- 1 Find the claim in the Claims list.
- 2 Click anywhere on the claim row.
- 3 The Claim Request Details popup opens.
The popup displays:
- Expense Claim header with status badge
- Employee name and code
- Claim Type (e.g., Transport/Travel Expenses, Meals & Entertainment)
- Expense Date when the expense occurred
- Amount of the claim
- Remarks you provided when submitting
- Receipt with a link to view the uploaded document
Approval Details and History
The Claim Request Details popup also shows:
- Approval Details including who approved the claim and when.
- History showing the timeline of actions (Submitted, Approved, Paid, etc.).
This gives you a complete audit trail of your claim from submission to payment.
Click Close to return to My Desk.
Frequently Asked Questions
Once a claim shows Approved status, it is queued for payment. The status updates to Paid after the reimbursement is processed through payroll. Check with your HR team about the payment schedule.
Navigate to Me → My Claims to see a complete history of all your expense claims with filtering options.
Review the Claim Request Details for any notes. You may need to resubmit with additional documentation or discuss the reason with your manager or HR.
