Understanding Leave Request Statuses

Learn what each leave status means and what to do next in Officaid.

Know where your request stands

After submitting a leave request, it goes through an approval process. The status tells you exactly where your request is in that process and what you should do next. Understanding these statuses helps you manage your time off with confidence.

The Four Statuses

Leave requests in Officaid can have one of four statuses:

  • Pending (yellow) means awaiting approval.
  • Approved (green) means your request was accepted.
  • Rejected (red) means your request was not approved.
  • Cancelled (grey) means the request was withdrawn.

Pending

A Pending status means your leave request has been submitted and is waiting for review by your manager or HR.

What to do:

  • Wait for your approver to review the request.
  • Do not assume your leave is approved until the status changes.
  • Check back periodically or wait for notification.
  • Follow up with your manager if the request has been pending for a long time.
Do not book flights or make firm plans until your leave shows as Approved.

Approved

An Approved status means your leave request has been accepted. You are confirmed to take the time off on the requested dates.

What to do:

  • Confirm your plans for the time off.
  • Prepare any necessary handovers before your leave.
  • Set up out-of-office replies if needed.
  • The leave will appear in your Upcoming section and on the Leave Calendar.

Rejected

A Rejected status means your leave request was not approved. This could happen for various reasons such as team coverage, timing, or policy requirements.

What to do:

  • Open the Leave Request Details to check if a reason was provided.
  • Speak with your manager to understand why it was rejected.
  • Consider requesting different dates or a different leave type.
  • Submit a new request if needed.

Cancelled

A Cancelled status means the leave request was withdrawn. This could happen if you cancelled your own request or if HR cancelled it for administrative reasons.

What to do:

  • If you cancelled it yourself, no further action is needed.
  • If it was cancelled unexpectedly, check with your HR team.
  • Submit a new request if you still need the time off.

Where to Check Your Status

You can check the status of your leave requests in several places:

  • Me → My Desk shows status in the Recent Requests panel.
  • Me → My Leaves → Overview shows status in Recent Requests.
  • Me → My Leaves → All Leaves shows status for all your requests.

Status Colors

Each status has a distinct color badge for quick recognition:

  • Pending appears with a yellow badge.
  • Approved appears with a green badge.
  • Rejected appears with a red badge.
  • Cancelled appears with a grey badge.

Frequently Asked Questions

Approval depends on your company's workflow configuration. Typically your manager or HR reviews and approves requests. If you are unsure who approves your leave, check with your HR team.
