Keep your activity records accurate and up to date
Plans change. Meetings get rescheduled. Tasks get completed. Managing your activities in Officaid ensures your interaction history stays accurate and your follow-ups remain on track. This guide covers everything you need to know about editing, completing, and deleting activities.
Finding Your Activities
Activities can be found in several places:
- Network → Interactions - The Activities tab shows all activities across your network
- Contact profiles - The Activities tab shows interactions with that person
- Company profiles - The Activities tab shows interactions with that company
- Deal details - Activities linked to that specific deal
Use the filters on the Interactions dashboard to narrow down by year or status (All, Upcoming, Overdue, Completed).
Completing an Activity
When you finish a scheduled activity, mark it as complete:
- 1 Find the activity in the list
- 2 Click the completion icon (circle) on the right side of the activity
- 3 The activity moves from Upcoming to History
Alternatively, you can open the activity and toggle Mark as done to complete it.
Editing an Activity
To update an activity's details:
- 1 Find the activity in the list
- 2 Click on the activity to open it, or click the edit icon
- 3 Update the fields as needed (type, title, date, contacts, notes)
- 4 Click Save to save your changes
You can edit any field on an activity, including:
- Activity type - Change from Call to Meeting, etc.
- Title - Update the activity name or description
- Date - Reschedule to a different date
- Contacts - Add or remove linked contacts (when created from a company)
- Notes/Remarks - Add or update additional details
- Completion status - Mark as done or reopen
Deleting an Activity
To remove an activity you no longer need:
- 1 Find the activity in the list
- 2 Click the delete icon (trash can) on the right side of the activity
- 3 Confirm the deletion when prompted
Reopening a Completed Activity
If you accidentally marked an activity as complete, or need to reopen it:
- 1 Find the activity in your History or filter by Completed
- 2 Click on the activity to open it
- 3 Toggle off Mark as done
- 4 Click Save
The activity will move back to your Upcoming list.
Rescheduling an Activity
When plans change, update the activity date:
- 1 Find the activity in the list
- 2 Click on the activity to open it
- 3 Change the Date field to the new date
- 4 Click Save
The activity will appear in the correct position based on its new date.
Activity Audit Trail
Every activity in Officaid records:
- Who created it - The team member who logged the activity
- When it was created - The date and time of creation
This audit trail helps your team understand who logged what, providing accountability and context for your interaction history.
Managing Overdue Activities
Overdue activities are scheduled activities that have passed their due date. They display a red badge showing how many days overdue they are.
To manage overdue activities:
- Complete them - If the activity happened, mark it as done
- Reschedule them - If it hasn't happened yet, update the date
- Delete them - If it's no longer relevant (use sparingly)
Frequently Asked Questions
Yes. Any team member with access to the activity can edit or complete it. This allows your team to collaborate on follow-ups and share responsibility for relationship management.
The activity is permanently removed from all locations where it appeared, including contact profiles, company profiles, and deal details. The deletion cannot be undone.
Not necessarily. Cancelled activities can still provide valuable context about your relationship history. Consider adding a note to the activity explaining the cancellation instead of deleting it entirely.
