Sending the same types of messages over and over takes time. Message templates in Officaid give you pre-written starting points for common WhatsApp conversations. Select a template, add your details, and send. What used to take minutes now takes seconds.

What Are Message Templates?

Message templates are pre-written messages that appear when you use the WhatsApp Message feature. Instead of typing from scratch every time, you select a template and the message field is automatically populated with text that includes the contact's name.

Templates help you:

  • Save time on repetitive messages
  • Stay consistent in your communication style
  • Start with context by automatically including the contact's name
  • Respond quickly when time is limited

Available Templates

Officaid provides templates for common business scenarios:

Custom Message (Default)

Start with a blank message and write whatever you need. This is selected by default when you open the WhatsApp Message panel.

Follow up

Pre-fills: "Hi [Contact Name], Following up our recent discussion."

Use this after a meeting or conversation to keep the momentum going. Add details about what you discussed or next steps.

Meeting

Pre-fills: "Hi [Contact Name], reminding our meeting"

Use this to remind or confirm a meeting. Add the date, time, and location to complete the message.

Thank you

Pre-fills: "Hi [Contact Name], thanks a lot for your time and inputs!"

Use this to express gratitude after a meeting, purchase, or helpful conversation. Add specific details about what you're thankful for.

Templates automatically include the contact's name, so your message feels personal from the start.

Using a Template

  1. 1 Navigate to a contact's profile
  2. 2 Click WhatsApp Message in the Quick Actions panel
  3. 3 Click the Message Template dropdown (Custom Message is selected by default)
  4. 4 Select a template (Follow up, Meeting, or Thank you)
  5. 5 The Message field is pre-filled with the template text and the contact's name
  6. 6 Add to or edit the message to complete your thought
  7. 7 Send via QR code or WA Web Link, then save the activity

Adding to Templates

Templates are designed to be starting points. After selecting a template, add your own details to complete the message:

  • Follow up - Add what you discussed and any action items
  • Meeting - Add the date, time, and location
  • Thank you - Add specific details about what you appreciated

For example, if using the Meeting template, you might expand it to:

"Hi John, reminding our meeting tomorrow at 2pm at the downtown office. Looking forward to seeing you!"

When to Use Each Template

Follow up works best for:

  • After an initial meeting or call
  • Checking in on a proposal you sent
  • Reconnecting after some time has passed
  • Continuing a conversation that went quiet

Meeting works best for:

  • Reminding someone of an upcoming meeting
  • Confirming arrangements
  • Sharing meeting details
  • Rescheduling a planned meeting

Thank you works best for:

  • After receiving a referral
  • Following a successful deal or purchase
  • When someone has been helpful
  • Acknowledging a productive meeting
