Tracking vs Not Tracking Contacts

Choose which contacts to monitor for engagement in Officaid and keep your relationship metrics meaningful.

Focus your engagement tracking where it matters

Not every contact needs engagement monitoring. Employees, personal friends, or vendors you interact with outside of Officaid don't need to appear as "cold" contacts. Mark them as Not Tracked to keep your relationship metrics focused on the contacts that matter.

The Three Segments

The Interactions dashboard organizes your contacts into three segments:

  • Warm - Contacts with recent activity
  • Cold - Contacts without recent activity who may need re-engagement
  • Not Tracked - Contacts excluded from engagement monitoring

Marking a Contact as Not Tracked

To exclude a contact from engagement tracking:

  1. 1 Navigate to Network → Interactions
  2. 2 Find the contact in the Warm or Cold list
  3. 3 Click the snowflake icon next to their name

The contact moves to the Not Tracked segment and no longer affects your warm/cold metrics.

Consider marking employees and internal contacts as Not Tracked to keep your cold list focused on external business relationships.

Re-enabling Tracking

To start tracking a contact again, click their entry in the Not Tracked segment. They'll be recategorized as Warm or Cold based on their activity history.

What Not Tracked Means

Not Tracked only affects engagement metrics. These contacts:

  • Remain in your database
  • Keep their activity history
  • Can still receive emails and WhatsApp messages
  • Still appear in Reasons to Connect for birthdays

Frequently Asked Questions

Consider excluding employees, personal contacts, internal team members, and regular vendors you interact with outside of Officaid. This keeps your cold list focused on business relationships that need attention.

No. Activities, notes, and contact details remain unchanged. The contact is simply excluded from the warm/cold engagement segments.

Yes. The Not Tracked segment on the Interactions dashboard shows all contacts you've excluded from tracking. If no contacts are excluded, it displays "Tracking all contacts".
