Generate payslips for employees in Officaid with automatic calculations for contributions and deductions.

Generate payslips with automatic calculations

Payslips do not have to be complicated. Officaid pulls salary details, allowances, and deductions from the employee's profile, calculates contributions automatically, and generates a professional payslip in minutes. No spreadsheets, no manual math, no guesswork.

How to Add a Payslip

  1. 1 Navigate to Team from the left sidebar.
  2. 2 Click Directory from the submenu.
  3. 3 Click on the employee you want to create a payslip for.
  4. 4 Click the Add Payslip button in the Quick Actions section.
  5. 5 Complete the payslip form with earnings, deductions, and payment details.
  6. 6 Review the summary and click Save to generate the payslip.
You can also add payslips in bulk from the Payroll module under Team. This is faster when processing payroll for your entire team at once.

Payslip Form Fields

The payslip form is divided into several sections:

Pay Period

  • Pay Period Start is the first day of the pay period.
  • Pay Period End is the last day of the pay period.

Earnings

  • Basic Salary is prefilled from the employee's profile based on their latest salary progress entry.
  • Overtime Hours for any overtime worked during the period.
  • Overtime Rate to calculate overtime pay.
  • Additional Earnings for bonuses, commissions, or other one-time payments.

Deductions

Deductions are prefilled from the employee's allowances and deductions settings. You can also add one-time deductions as needed for this specific payslip.

Employer Contributions

This section shows contributions calculated by Officaid for reference:

  • CPF (Employer) for Singapore Citizens and Permanent Residents.
  • SDL (Skills Development Levy) for all employees.
  • SHG (Self-Help Group) based on the employee's ethnicity.
Employer contributions are calculated automatically based on the employee's age, salary, nationality, and ethnicity. You do not need to calculate these manually.

Payment Details

  • Payment Date when the salary will be paid.
  • Bank Name prefilled from the employee's profile.
  • Bank Account Number prefilled from the employee's profile.

Payslip Summary

As you fill in the form, the Payslip Summary sidebar updates in real time showing:

  • Gross Pay totaling all earnings.
  • Total Deductions including employee CPF contributions.
  • Net Pay which the employee will receive.

This lets you review the final amounts before saving.

After Saving

Once you save the payslip, it appears in the employee's Payslips section where you can view the full breakdown, download it as a PDF, or send it directly to the employee.

Frequently Asked Questions

Yes. Open the payslip from the employee's profile and use the Edit Payslip quick action. You can make changes as long as the payslip has not been finalized or submitted.

The basic salary is pulled from the employee's Salary Progress. If it is incorrect, update the employee's salary in their profile first, then create the payslip.

Yes. Officaid calculates all statutory contributions based on the employee's details. You do not need to look up rates or calculate manually.

Yes, you can generate payslips without bank details. However, entering bank information is recommended as Officaid can generate bulk bank files for easier payroll processing.
