Viewing and Sending Payslips

Review payslip details and send them to employees directly from Officaid.

Review and deliver payslips to your team

Once a payslip is generated, you can view the full breakdown, preview and download the PDF, or send it directly to the employee via email. Everything happens within Officaid, so there is no need to export files and send them manually.

Viewing Payslips in an Employee Profile

The Payslips section on an employee's profile gives you a complete view of their payroll history:

  • Total Net Pay (YTD) summarizing year-to-date earnings.
  • A bar chart visualizing net pay by month.
  • A table listing all payslips with Pay Period Start, Pay Period End, and Net Pay columns.
  1. 1 Navigate to Team from the left sidebar.
  2. 2 Click Directory from the submenu.
  3. 3 Click on the employee whose payslips you want to view.
  4. 4 Scroll to the Payslips section on the Overview tab.
  5. 5 Click on any payslip row to view the full details, or click See All to view the complete payslip history.

Payslip Details Page

When you click on a payslip, you will see the full breakdown organized into clear sections:

Earnings and Deductions

This section shows:

  • Earnings including basic salary, allowances, and any additional payments.
  • Gross Pay totaling all earnings.
  • Deductions including employee contributions, insurance, and other deductions.
  • Total Deductions summing all amounts withheld.
  • Net Pay which the employee receives after deductions.

Employer Contributions

This section displays contributions paid by the employer on behalf of the employee, such as CPF (employer portion), SDL, and SHG. These amounts are calculated automatically based on the employee's details.

Payslip Document

A PDF preview of the payslip appears on the right side of the page. The document includes your company details, employee information, full earnings and deductions breakdown, employer contributions, and net pay. Your company logo also appears if configured in your settings.

Payslip Activities

The activities timeline shows a history of actions taken on the payslip, such as when it was created, generated, edited, or sent. Each entry includes the date, time, and the team member who performed the action.

Quick Actions

The payslip details page includes several quick actions:

  • Edit Payslip to make changes to the payslip details.
  • Download Payslip to save the PDF to your device.
  • Send Email to email the payslip directly to the employee.
  • View Employee to go to the employee's full profile.
  • Delete Payslip to remove the payslip if needed.
The Send Email and Download Payslip buttons also appear at the top of the page for quick access.

Sending a Payslip via Email

To send a payslip to an employee:

  1. 1 Open the payslip details page.
  2. 2 Click the Send Email button.
  3. 3 The payslip PDF will be attached automatically.
  4. 4 Add any additional message if needed.
  5. 5 Click Send to deliver.

The employee will receive an email with your company branding, your message, and the payslip PDF attached.

You can also send payslips in bulk from the Payroll module. This is more efficient when distributing payslips to your entire team at once.

Downloading a Payslip

Click the Download Payslip button to save the PDF to your device. This is useful for printing physical copies, sharing via other channels, or keeping local backups for your records.

Frequently Asked Questions

Yes. Employees can view and download their payslips through Me → My Desk or the payslips section in their personal dashboard.

Yes. You can send the same payslip multiple times using the Send Email button. This is useful if the employee did not receive the first email.

It shows a timeline of all actions taken on the payslip, including when it was created, generated, edited, or sent, along with who performed each action.

Yes. Use the Edit Payslip quick action to make changes. If you have already sent the payslip, consider communicating the changes to the employee and resending the updated version.
