Record promotions and salary changes

Careers progress. Salaries change. Officaid keeps a complete history of each employee's compensation journey, from their starting salary through every raise and promotion. This gives you an accurate record for payroll, reviews, and compliance.

Where to Find Salary Progress

The Salary Progress section appears on the Overview tab of every employee profile, typically near the bottom.

  1. 1 Navigate to Team from the left sidebar.
  2. 2 Click Directory from the submenu.
  3. 3 Click on the employee whose salary history you want to view.
  4. 4 Scroll to the Salary Progress section on the Overview tab.

What You Will See

The Salary Progress section displays a table with:

  • Date when the salary or role change took effect.
  • Designation at that time.
  • Grade if your company uses a grading system.
  • Base Salary amount.

Entries are listed chronologically so you can see how the employee's compensation has evolved.

How Salary Progress Works

The first entry is created when you add an employee and complete their payroll details. Each subsequent entry records a change in their compensation or role.

The latest entry determines the base salary that appears on new payslips. When you generate a payslip, Officaid uses the most recent salary progress entry to prefill the basic salary amount.

Adding a Salary Change

  1. 1 Navigate to the employee's profile.
  2. 2 Scroll to the Salary Progress section.
  3. 3 Click the Add button.
  4. 4 Fill in the new salary details.
  5. 5 Click Save to record the change.

Salary Progress Fields

  • Date when the new salary takes effect.
  • Designation for the job title at this point.
  • Grade for the level or band.
  • Base Salary as the new monthly amount.

When to Add a New Entry

Add a salary progress entry when:

  • Promotion with a new title, grade, and salary.
  • Annual increase where salary changes but role stays the same.
  • Role change even without a salary increase.
  • Salary adjustment for market corrections or other reasons.
  • Probation confirmation if salary changes after passing probation.
Always add a new salary progress entry rather than editing an old one. This preserves the historical record and ensures accurate payroll processing.

Salary Progress vs Editing Employee

You might wonder when to use Salary Progress versus editing the employee's Payroll tab:

  • Use Salary Progress for legitimate changes like promotions, raises, or role changes. This creates a dated record.
  • Use Edit Employee to correct mistakes in the original entry, like fixing a typo in the salary amount.
When you add a salary progress entry, the employee's profile is updated with the new designation, grade, and salary. You do not need to edit the employee separately.

Frequently Asked Questions

No. Salary progress only affects future payslips. Past payslips remain unchanged with the salary that was recorded at that time.

Yes. When adding a salary progress entry, you can set the Date to a past date. However, this will not automatically adjust past payslips. You would need to handle any back-pay manually.

You can edit existing salary progress entries if corrections are needed. However, for audit purposes, consider adding a new correcting entry instead.

Employees can see their current salary on payslips. The full salary progress history is typically visible only to HR and management in the Directory.
