Viewing Employee Details

Explore every section of an employee profile in Officaid and find the information you need.

Everything about an employee, one click away

Click on any employee in the Directory and you will see their complete profile. Personal details, payslips, leave balances, documents, and more are all organized in one place. No searching through folders or switching between systems.

Opening an Employee Profile

  1. 1 Navigate to Team from the left sidebar.
  2. 2 Click on any employee card in the Directory list.
  3. 3 The employee's full profile opens.

Profile Tabs

Each employee profile has two tabs at the top:

  • Overview contains all day-to-day employee information including personal details, notes, leave balances, payslips, claims, goals, allowances, documents, emergency contacts, inventory, and salary history.
  • Regulatory is for government compliance data. In Singapore, this is where you complete the Occupational Employment Dataset (OED) form for MOM submissions.

Employee Info Card

At the top of the Overview tab, you will see the employee info card showing:

  • Name and Job Title with a status badge (Active, On Probation, etc.).
  • Employee Code for internal reference.
  • Work Email and Work Phone for business contact.
  • Department and Reporting To for organizational structure.
  • Date of Birth and Grade for records.
  • Join Date and Probation End Date for employment timeline.

Quick Actions

Next to the employee info card, you will find three quick action buttons:

  • Edit Employee opens the form to update contact, employment, or payroll details.
  • Add Payslip creates a new payslip for this employee.
  • Send Email sends an email directly to the employee's work address.

Notes

The Notes section provides a rich text editor for recording important information about the employee. Use it for:

  • HR observations and updates.
  • Medical leave arrangements.
  • Performance notes between reviews.
  • Any other information worth documenting.

Notes are saved automatically and visible to anyone with access to the employee profile.

Leave Summary

The Leave Summary shows the employee's leave balances at a glance. For each leave type (Annual, Sick, Childcare, Unpaid, etc.), you can see:

  • Entitled is the total days allocated.
  • Balance is the remaining days available.
  • Taken is the number of days already used.

Two buttons appear below the leave summary:

  • Manage Leaves to adjust leave entitlements for this employee.
  • Apply Onbehalf to submit a leave request on the employee's behalf.

Payslips

The Payslips section displays:

  • Total Net Pay (YTD) showing year-to-date earnings.
  • A chart visualizing pay over time.
  • A table listing all payslips with Pay Period Start, Pay Period End, and Net Pay.

Click on any payslip row to view the full breakdown of earnings, deductions, and contributions.

Claims

The Claims section shows expense claims submitted by the employee:

  • Total Approved (YTD) for approved reimbursements this year.
  • Pending Claims awaiting approval.
  • A breakdown by status: Approved, Pending, Rejected, Paid.
  • A table listing each claim with Date, Claim Type, Amount, and Status.
Claims are submitted by employees through the Me module. Managers view and approve them here or through the Claims module.

Goals and KPIs

The Goals and KPIs section tracks performance objectives:

  • Goal name and description.
  • Type such as Performance, Project, Financial, or Behavior.
  • Progress shown as a percentage.
  • Status indicating Active, Completed, or other states.

Allowances and Deductions

This section lists recurring payroll items for the employee:

  • Allowances like mobile phone allowances or transport allowances with their status and amount.
  • Deductions like insurance or loan repayments with their status and amount.

These items are automatically applied when generating payslips.

Documents

The Documents section stores important files:

  • Document Name for identification.
  • Document Type such as Contract, ID, Passport, License, or Certificate.
  • Expiry Date to track renewals.
  • File link to view or download.
Pay attention to documents with expired status, especially work passes for foreign employees. Expired passes can affect employment eligibility.

Emergency Contacts and Dependants

This section stores personal contacts for the employee:

  • Name of the contact or dependant.
  • Relationship Type such as Spouse, Child, Parent, or Sibling.
  • Contact No for emergency situations.

Emergency contacts are marked separately so you know who to reach in urgent situations.

Inventory

The Inventory section tracks company assets assigned to the employee:

  • Item name and description.
  • Type such as Hardware, Software, Vehicle, or Fixed Asset.
  • Details like serial numbers.
  • Status showing Active or Returned.

Fixed Assets assigned here are linked to the Finance module for accounting purposes.

Salary Progress

The Salary Progress section records the employee's compensation history:

  • Date when the salary change took effect.
  • Designation at that time.
  • Grade if applicable.
  • Base Salary amount.

This provides a clear record of promotions, raises, and role changes over time.

Frequently Asked Questions

Use the Edit Employee quick action to update contact, employment, or payroll details. Other sections like Documents, Allowances, and Goals have their own add or edit buttons within each section.

Yes. Employees access their own information through the Me module, where they can view payslips, leave balances, claims, and personal details. By default, they cannot see other employees' profiles. However, employees in HR roles or those managing a team can be granted Directory access through Admin → User Access Permissions.
