Downloading Bank Files

Generate bulk payment files for your bank to pay all employees in one transaction.

Pay everyone with a single file upload

Instead of transferring salaries one by one, you can generate a bank file containing all payment instructions and upload it to your bank's portal. The bank processes all transfers at once, saving you time and reducing errors.

Before You Begin

Ensure the following:

  • Payroll is processed for all employees you want to pay.
  • Bank details are entered in each employee's profile (bank name, account number).
  • Bank account is created in Finance → Accounts for your company's payroll account.
You need at least one company bank account set up in Finance → Accounts before you can generate bank files. The file format is determined by the bank account you select.

How to Download a Bank File

  1. 1 Navigate to Team → Payroll.
  2. 2 Click the Payments tab.
  3. 3 Select the Payslip Period and click Apply.
  4. 4 In the Bank Transfer section, select the employees to include using the checkboxes.
  5. 5 Click Download Bank File.
  6. 6 Select the Account you want to use from the dropdown. This lists all bank accounts you have created in Finance → Accounts.
  7. 7 The Bank File Format is automatically selected based on the bank account you chose.
  8. 8 Enter the Organization ID if required.
  9. 9 Confirm the Date for the payment.
  10. 10 Add any Remarks for your reference (e.g., "Net Pay Jan 2026").
  11. 11 Review the Employees list and amounts.
  12. 12 Click Generate Bank File to download.

The file downloads to your device in the format required by your selected bank.

Use the Remarks field to label your files clearly. This helps when reviewing past payments or managing multiple payroll runs.

How Bank File Formats Work

The bank file format is determined by the bank account you select when generating the file. If you have multiple bank accounts set up (e.g., one with DBS and one with OCBC), you can choose which account to use, and Officaid generates the file in the correct format for that bank.

Officaid supports major Singapore banks and continues to expand support over time. If your bank is not yet supported, contact Officaid to request support.

Uploading to Your Bank

After downloading the file:

  1. Login to your bank's business banking portal.
  2. Navigate to the bulk payment or payroll section.
  3. Upload the file you downloaded from Officaid.
  4. Review and authorize the payments according to your bank's process.

After disbursing salaries, return to Officaid and mark the payments as paid in the Payments tab.

Frequently Asked Questions

Some banks require an Organization ID for bulk payment file submissions. This field appears in the bank file generation dialog. If you're unsure whether you need this or what value to enter, check with your bank.

Yes. If you have multiple company bank accounts set up in Finance → Accounts, you can choose which account to use each time you generate a bank file. Officaid generates the file in the correct format for the selected bank.

Officaid pulls bank details from each employee's profile. To view or update bank details, go to Team → Directory, select the employee, and check their payroll information. See Editing Employee Information for details.

Go to Finance → Accounts and add your company's bank account. This account will then appear in the Account dropdown when generating bank files. See Adding a Bank, Credit Card, or Cash Account for details.
