Managing Salary Payments

Track and manage salary disbursements for your team in Officaid's Payments tab.

Track every salary payment from processing to completion

After processing payroll, you need to actually pay your employees. The Payments tab in the Payroll module helps you track who has been paid and who is still pending. It separates bank transfers from cash payments for easier management.

Accessing the Payments Tab

  1. 1 Navigate to Team → Payroll.
  2. 2 Click the Payments tab.
  3. 3 Select the Payslip Period and click Apply.

The tab displays employees whose payroll has been processed and are ready for payment.

Payment Type Sections

The Payments tab organizes employees into sections based on their payment method:

  • Bank Transfer lists employees who will be paid via bank transfer, showing their bank account details, net pay, and payment status.
  • Cash lists employees who will be paid in cash, showing their net pay and payment status.

Bank Transfer Section

Employees in this section are listed with:

  • Employee name and employee code.
  • Bank Account showing the bank name and account number.
  • Net Pay amount to be transferred.
  • Payment Status showing Pending or Paid.
  • Remarks for any notes.
  • Actions to view payslip or mark as paid.

This section includes buttons to Download Bank File and Mark Selected As Paid.

Cash Section

Employees in this section are listed with:

  • Employee name and employee code.
  • Net Pay amount to be paid.
  • Payment Status showing Pending or Paid.
  • Remarks for any notes.
  • Actions to view payslip or mark as paid.

This section includes a Mark Selected As Paid button but no bank file option since cash payments are made directly.

Marking Payments as Paid

After disbursing salaries, update the payment status:

  1. 1 Select the employees who have been paid using the checkboxes.
  2. 2 Click Mark Selected As Paid.
  3. 3 The status updates from Pending to Paid.

This updates the payroll status and provides a record that payment has been completed.

Only mark payments as paid after you have actually disbursed the funds. This keeps your records accurate.

Filtering Payments

The Payments tab has additional filter options:

  • Payment Type to show only Bank Transfer or Cash payments.
  • Status to filter by Pending or Paid.

Use these filters to focus on specific groups, such as viewing only pending bank transfers.

Viewing Individual Payslips

Click the eye icon in the Actions column to view the full payslip details for any employee. This opens the same payslip details page accessible from the employee's profile in Team → Directory.

Frequently Asked Questions

This is based on the Payment Type set in the employee's payroll details. You choose either Bank Transfer or Cash when setting up the employee's profile in Team → Directory. See Editing Employee Information for details.

Yes. Go to Team → Directory, select the employee, and update their Payment Type to Bank Transfer. You'll also need to enter their bank details. The change applies to future payroll periods.

The payment status changes to Paid and the payroll status updates to Payment Processed. This completes the payroll cycle for that employee.
