Marking Submissions as Submitted

Track manual tax submissions in Officaid when filing through myTax Portal instead of API.

Track your manual filings

Not everyone uses the API to submit to IRAS. If you file employment income records manually through myTax Portal, the Mark As Submitted feature lets you update your Officaid records to reflect what you've already filed. This keeps your submission tracking accurate without requiring CorpPass authentication in Officaid.

When to Use This Feature

Use the Mark As Submitted feature when:

  • You submit employment income records directly through IRAS myTax Portal
  • You don't have CorpPass access configured for Officaid
  • You prefer to file manually for any reason
  • You've filed through another system but want to track submissions in Officaid

This feature is purely for record-keeping within Officaid. It does not send any data to IRAS. Make sure you've actually submitted the records through myTax Portal before marking them as submitted.

Marking a submission as submitted in Officaid does not file anything with IRAS. You must submit the actual records through myTax Portal separately.

Step-by-Step Guide

  1. 1 Navigate to Team → Tax from the main menu
  2. 2 Filter to show the submissions you've manually filed with IRAS
  3. 3 Use the checkboxes to select the records you want to mark
  4. 4 Click Mark As Submitted
  5. 5 Confirm the action when prompted

The selected submissions update from Draft to Submitted status, with the current date recorded as the submission date.

What Changes When You Mark as Submitted

Marking submissions as submitted updates your records in Officaid:

  • Status changes from Draft to Submitted
  • The current date is recorded as the submission date
  • The submission becomes read-only

This mirrors what happens with API submissions, keeping your records consistent regardless of how you filed with IRAS.

Keeping Accurate Records

The submission date recorded by Officaid is the date you clicked Mark As Submitted, not necessarily the date you filed with IRAS. For your own records, consider marking submissions on the same day you file them through myTax Portal.

If you need to track the actual filing date separately, make a note in your records or use the submission date in myTax Portal as your authoritative reference.

Can You Undo This Action

Once a submission is marked as submitted, you cannot revert it to Draft status. If you marked something by mistake, the submission will remain in Submitted status.

If you need to make changes to a record you've already marked as submitted, you'll need to generate a new Amendment or Revised submission, just as you would for any correction after filing with IRAS.

The action cannot be undone. If you haven't actually filed the record with IRAS yet, you'll need to go ahead and submit it through myTax Portal to match your Officaid records. If you marked the wrong employee entirely, the submission will remain in Submitted status.

Yes. You can use API submission for some employees and manual submission for others. Use whichever method works for each situation. Just be careful not to submit the same record twice through different methods.
