Track Progress Through Every Stage
Knowing where a task stands is just as important as knowing what the task is. Status updates communicate progress without lengthy explanations, letting everyone see at a glance whether work is pending, underway, blocked, or done.
Available Task Statuses
Officaid provides four task statuses:
- Not Started task has been created but work hasn't begun
- In Progress work is actively being done
- On Hold work has paused, typically due to a blocker or dependency
- Completed task is finished
Understanding Each Status
Not Started is the default status for new tasks. It indicates the work has been identified and captured but no one has begun working on it yet. Tasks may stay in this status when waiting for resources, waiting to be prioritized, or queued behind other work.
In Progress means active work is happening. Someone is currently working on the task or has started making progress. Moving a task to In Progress signals that it's being addressed.
On Hold indicates the task can't proceed right now. This might be due to waiting for information, a dependency on another task or project, a resource constraint, or a deliberate decision to pause. Unlike Not Started, On Hold implies work was intended to proceed but has been blocked or deferred.
Completed means the task is finished. The work has been done and no further action is needed. Completed tasks move from the On Going tab to the Completed tab.
Status Workflow
Tasks typically flow through statuses in a logical sequence:
- Not Started → task is created and waiting
- In Progress → work begins
- On Hold (optional) → work pauses if blocked
- In Progress → work resumes after blocker is cleared
- Completed → work is finished
Not every task follows this exact path. Simple tasks might go directly from Not Started to Completed. Complex tasks might move between In Progress and On Hold multiple times.
How Statuses Display
In the task list, statuses appear as badges with different styling:
- Not Started appears with a neutral outline
- In Progress appears in yellow/amber
- On Hold appears differently to indicate paused state
- Completed appears in green
These visual indicators help you quickly scan the task list and understand where things stand.
Changing Task Status
To update a task's status:
- 1 Open the task by clicking on it in the task list
- 2 Click Edit in the Quick Actions panel
- 3 Select the new status from the Status dropdown
- 4 Click Update Task to save
You can also mark a task as Completed directly from the task list by clicking the checkbox.
Completed Tasks Tab
When a task is marked Completed, it moves from the On Going tab to the Completed tab. This keeps your active task list focused on work that still needs attention while preserving a record of finished work.
The Completed tab includes filters to view tasks by year or custom date range, making it easy to find historical tasks.
Frequently Asked Questions
Yes. Edit the task and change the status from Completed back to In Progress or another status. The task will move back to the On Going tab.
Status changes don't trigger automatic notifications. If you need to inform someone about a status change, communicate directly or add a comment to the task.
Yes. All status changes are recorded in the Task Activity log, showing who changed the status and when.
