Navigating the Payroll Module

Get familiar with the Payroll module in Officaid and manage your team's payroll efficiently.

Your central hub for payroll management

The Payroll module brings together everything you need to process salaries, manage payments, and submit contributions. Instead of switching between different systems, you can handle the entire payroll workflow from one place. This guide introduces the module and its three main tabs.

Accessing the Payroll Module

  1. 1 Navigate to Team from the left sidebar.
  2. 2 Click Payroll from the submenu.

You will see the Payroll module with three tabs at the top: Payroll, Payments, and Contributions.

The Three Tabs

Each tab handles a different stage of the payroll process:

  • Payroll is where you process payroll calculations and generate payslips for your team.
  • Payments is where you track salary disbursements and generate bank files for bulk transfers.
  • Contributions is where you view and submit statutory contributions.
When you navigate between tabs, your filter settings (payslip period, status) carry over for convenience.

Filtering and Selecting

All three tabs share common filtering options:

  • Payslip Period lets you select the month and year to view.
  • Status filters employees by their payroll status.
  • Apply updates the list based on your filter selections.
  • Reset clears all filters and returns to the default view.

Each tab displays a list of employees with checkboxes. Select individual employees or use the header checkbox to select all visible employees for bulk actions.

Payroll Tab Overview

The Payroll tab displays:

  • Employee name and employee code.
  • Designation showing their job title.
  • Payment Type such as Bank Transfer or Cash.
  • Payroll Status indicating where they are in the payroll process.
  • Net Pay once payroll is processed.
  • Contributions amount for employer contributions.
  • Actions for viewing, emailing, or downloading individual payslips.

From this tab, you can process payroll for selected employees and send payslips via email.

Payments Tab Overview

The Payments tab organizes employees by payment method:

  • Bank Transfer section lists employees paid via bank transfer, showing their bank account details.
  • Cash section lists employees paid in cash.

Each section shows the employee, bank account (if applicable), net pay, payment status, and action buttons. You can download bank files for bulk transfers and mark payments as paid.

Contributions Tab Overview

The Contributions tab shows statutory contribution details:

  • Employee name and employee code.
  • ID showing the employee's identification number.
  • Employee Contributions amount deducted from salary.
  • Employer Contributions amount paid by the company.
  • Status of the contribution submission.

From this tab, you can generate contribution files or submit directly via API.

Frequently Asked Questions

Anyone with the appropriate user access permissions can access the Payroll module. To configure who has access, go to Admin → Access and assign the relevant permissions. See [Managing User Access] for details.

Yes. Use the checkboxes to select specific employees before clicking Process Selected Payroll. This is useful when you need to process payroll for new joiners mid-month or handle individual cases separately.

This message appears in the Payments or Contributions tab when payroll has not yet been processed for an employee. Go to the Payroll tab, select the employee, and click Process Selected Payroll to generate their payslip before proceeding.
