See how unpaid leave reduces a payslip
When an employee takes approved unpaid leave, Officaid deducts those days from the payslip for that month. The deduction is worked out from the employee's monthly basic salary and the working days in the month, so you do not need to calculate it yourself.
Before You Begin
- The employee has the Unpaid leave type active. Check this with Manage Leaves on the employee's profile in Team → Directory.
- The unpaid leave is approved. Only approved unpaid leave is deducted.
How the Deduction Is Calculated
The payslip shows an Unpaid Leave Deduction row:
Unpaid Leave Deduction = monthly basic salary × unpaid days ÷ working days in the month
- Working days in the month are Monday to Friday. Public holidays count as paid working days.
- Unpaid days are the approved unpaid leave days in the month.
- A public holiday inside approved unpaid leave counts as an unpaid day, because no holiday pay is due then.
- A public holiday just before or just after the unpaid leave stays paid.
Example
An employee with a basic salary of SGD 4,300.00 takes approved unpaid leave from 24 Dec 2026 to 28 Dec 2026. That covers two leave days plus Christmas Day (25 Dec 2026), which falls inside the leave, so there are 3 unpaid days. December 2026 has 23 working days.
SGD 4,300.00 × 3 ÷ 23 = SGD 560.87
The row carries a note that starts "Total 3 days (incl. 1 public holiday(s) within the approved unpaid leave", and the same note is printed on the payslip PDF.
Where the Rule Applies
- Process Payroll in Team → Payroll uses this rule for new payslips.
- Edit Payslip on the employee's payslip uses the same rule.
