Getting Started: Setting Up Your Account

Work through the Getting started checklist on your dashboard to get Officaid ready for invoicing, leave and claims.

Get your new account ready with the Getting started checklist

When you first sign in, the top of your Insights dashboard shows a Getting started card. It lists five setup steps: Complete your company profile, Set up bank accounts, Set leave policies, Import holidays and Set claim policies. Each one is a task other features depend on, so working through them first saves you from hitting an empty dropdown later.

Watch it done: the Getting started card, and the company profile step with a first department and location.

Recommended Order

  1. 1 Complete your company profile: go to Admin → Company and fill in your company information. Add your registration number and address, as they appear on your invoices.
  2. 2 Set up bank accounts: go to Finance → Accounts and add at least one account. Invoices need a payment account, so do this before creating your first invoice.
  3. 3 Set leave policies: go to Team → Leaves → Leave Policy. Leave types such as Annual and Sick are already there; for each one you want to offer, enter the entitled days and switch on the applies-to-everyone toggle in its row.
  4. 4 Import holidays: go to Team → Leaves → Holidays and add the public holidays for your region, so leave calculations skip them.
  5. 5 Set claim policies: go to Team → Claims → Claim Policy and choose the claim types and their limits.
Leave types are off for everyone until you configure them. Until a leave type has an entitlement and applies to your employees, the Leave Type dropdown in Apply Leave stays empty and nobody can apply for leave.
Claim types work differently: the default claim types (Health Expenses, Meals & Entertainment, Office Expenses, Transport/Travel) already apply to everyone, so employees can submit claims straight away. Set Claim Policies is about adjusting limits, not switching claims on.

About the Getting Started Card

The card shows your progress as a badge (for example, 3 of 5 done) and a progress bar. Each open step has two controls:

  • Set up opens the page where you do that setup.
  • The tick icon (Mark as done) marks the step as done for the whole company.

You do not always need to tick a step yourself. A step ticks itself once its setup exists, for example when you add a bank account, set a leave policy, import holidays or save your company address. Done steps turn grey with a green check. When all five steps are done, the card disappears.

The Quick Actions panel on the same dashboard (Add New Invoice, Add New Expense, Apply Leave, Apply Claim and more) is the fastest way into everyday tasks once setup is done.

Frequently Asked Questions

No. Each step unlocks a specific area: bank accounts for invoicing, leave policies for leave applications, holidays for accurate leave counts. You can start with the step that matches what you want to do first.

No leave type has been configured to apply to you yet. Ask an admin to set the entitled days and switch on the applies-to-everyone toggle for that leave type in Team → Leaves → Leave Policy.
