Switching your payroll to Officaid, in January or mid-year

Moving payroll from another system or spreadsheet? Start in January if you can; if you start mid-year, add the wages paid earlier so CPF and the IR8A cover the whole year.

Switching your payroll to Officaid, in January or mid-year

You can move your payroll to Officaid at the start of any month. This article explains what to set up first, and the one extra step you need when you switch part way through the year.

Starting in January: the simplest switch

If your first payroll in Officaid is for January, Officaid pays every month of the year. Nothing from your old payroll needs to be added: the CPF Additional Wage ceiling and the IR8A for that year come entirely from Officaid's payslips. Your previous payroll still finishes the year before, including its IR8A forms and the December CPF contributions.

Set up in this order

  1. 1 Complete your company profile, including your CPF Submission Number (CSN). See Obtaining CPF Submission Number.
  2. 2 Add each employee in Team → Directory with their employment details and their salary and bank account under Payroll.
  3. 3 Carry over leave balances: on the employee's profile, click Manage Leaves and use Adjustments for the days left from your old system.
  4. 4 Starting mid-year? Add the wages paid before Officaid this year for each CPF member (next section).
  5. 5 Run your first payroll in Team → Payroll for the month you start. See Processing Payroll.

Starting mid-year: add the wages paid before

Officaid does not know what your previous payroll paid earlier in the year. For each Singapore Citizen or Permanent Resident who worked for you this year before their first payslip in Officaid, add those wages once. Officaid then works out the CPF Additional Wage ceiling for the whole year, and the IR8A includes the earlier months.

Take the figures from your previous payroll's year-to-date report. The steps are in Adding wages paid before Officaid this year.

Enter only the wages your company paid this year, never wages from an employee's previous employer. Employment Pass and S Pass holders do not need this step.

CPF for the months around the switch

Submit CPF for each month from the payroll that paid it. Months paid by your previous payroll are submitted from there; from your first Officaid payroll, Officaid prepares the CPF contributions. Contributions for a month are due by the 14th of the next month. See What is CPF Submission.

The IR8A at year end

IRAS wants one IR8A per employee for the whole year. When you generate tax submissions from payslips in Team → Tax, Officaid adds the amounts you entered for the earlier months, and the employee's row shows "Includes SGD … paid before Officaid". If you started in January, the IR8A comes from Officaid's payslips alone.
